Terms & Conditions (AGB) for Exhibitors

These Terms & Conditions govern all exhibitor bookings, booth rentals, and participation in the IASRE trade fair organised by IASRE GmbH.
By submitting an exhibitor application or booking a booth, the exhibitor agrees to the following conditions.

Hereinafter referred to as the “Organiser.”


2. Scope

These Terms & Conditions apply to all contracts between the Organiser and exhibitors participating in the IASRE trade fair, including booth rental, service bookings, and all related event activities.


3. Application and Contract Conclusion

  1. Exhibitors submit their booking via the official exhibitor application form.

  2. The Organiser reviews the application and confirms acceptance in writing (email confirmation is sufficient).

  3. A binding contract is formed once the exhibitor receives written confirmation from the Organiser.

  4. The Organiser may refuse applications without providing reasons.


4. Booth Allocation

  1. Booth locations are allocated by the Organiser according to event logistics and planning needs.

  2. Exhibitors may express preferences, but no entitlement to a specific location exists.

  3. The Organiser may adjust booth placements if required for operational or safety reasons.


5. Prices and Payment Terms

  1. All booth prices and service fees are listed on the exhibitor webpage.

  2. Prices are in EUR and subject to applicable VAT.

  3. Full payment must be received by the due date on the invoice.

  4. Exhibitors who have not paid in full may be refused access to the event.


6. Cancellation by Exhibitors

No cancellation is permitted once the Organiser has issued written confirmation of the booking.

  1. All exhibitor bookings are final and binding.

  2. Participation fees are 100% non-refundable, regardless of the reason for cancellation or non-attendance.

  3. If the exhibitor does not attend the event, the full fee remains payable.

  4. The Organiser may reassign the booth; however, the exhibitor has no claim to reimbursement or compensation.

This clause is fully enforceable under German contract law.


7. Cancellation or Modification by the Organiser

  1. The Organiser may cancel, postpone, or alter the event due to force majeure, safety risks, or circumstances beyond its control.

  2. If the event is fully cancelled, exhibitors will receive a refund of booth fees already paid.

  3. No further claims (e.g., travel, shipping, accommodation) may be asserted.


8. Use of Booths

  1. Booths may only be used for presenting the exhibitor’s own products or services.

  2. Subletting or transferring the booth requires written approval from the Organiser.

  3. Exhibitors must comply with all venue regulations and safety guidelines.


9. Setup and Dismantling

  1. Setup and dismantling times are published on the IASRE exhibitor webpage and the exhibitor application form.

  2. Exhibitors must strictly adhere to these times.

  3. Early dismantling before the official end of the event is prohibited.

  4. The exhibitor is liable for any damages caused during setup or dismantling.

  5. Additional setup or teardown accommodation requires written approval.


10. Insurance

Exhibitors are responsible for insuring their equipment, products, and materials against theft, loss, or damage.
The Organiser does not provide insurance.


11. Liability

  1. The Organiser is liable only for intent or gross negligence.

  2. Liability for slight negligence is excluded except in cases of:

    • Personal injury (life, body, health)

    • Breach of essential contractual obligations

  3. Exhibitors are liable for damages caused by themselves, their staff, or contractors.


12. Use of Images and Recordings

The Organiser may take photos and videos during the event and may use them for documentation and marketing.
Exhibitors may object for legitimate reasons.


13. Venue Rules

Exhibitors must comply with all venue rules, fire protection regulations, and staff instructions.


14. Data Protection

Personal data is processed according to the Organiser’s Privacy Policy and used only to manage exhibitor participation.


15. Final Provisions

  1. German law applies.

  2. Where legally permissible, the place of jurisdiction is Siegen, Germany.

  3. Invalid clauses do not affect the validity of the remaining terms.

  4. Changes and additions require written form.
